EFIS Vendor Invoice Registry (VIR) shows the payments that have been made to a specific vendor number. See the following instructions below.

Paid Invoices

For a specific invoice:

  1. Go to the Page Code field (top right hand corner) and type in "VIR" for Vendor Invoice Registry
  2. Type in Vendor Invoice Number (ex. 15-13) then press Enter

Vendor Invoice Registry

  1. Shows Vendor Name, Document amount (invoice amount), Ref Date (claim schedule date sent to SCO)
  2. To get the check number and issue date, click on "Vendor Transaction History" on the bottom
  3. Write down or copy (Ctrl + C) the Vendor/Customer Code (ex. VC0000017368), then click on "Disbursement Quarry" on the bottom

Vendor Transaction History

  1. Select "AD" in the Disbursement Doc Type drop box, then type in or paste (Ctrl + V) Vendor Code, then press Enter
  2. Click on the line that you want to view
  3. Shows check number, total check amount, and issue date under the General Info and penalty amount under Additional Amounts

For a list of invoices paid for a specific vendor:

  1. If you know the Vendor Code, go to step 11. If not, start from step 2
  2. Click Search on the Secondary Navigation Panel on the left hand side
  3. Select Document Catalog
  4. Type "CT" in the Code field (CT = contracts)
  5. Type "2660" in the Dept field (2660 = Caltrans)
  6. Type "04*your contract number*" in the ID field (ex. 04*3629*)
  7. Press Enter
  8. Select your contract
  9. Select "Vendor" on the Secondary Navigation Panel on the left hand side
  10. Write down or copy (Ctrl + C) the Vendor Customer ID (ex. VC0000017368 for WRECO)
  11. Go to the Page Code field (top right hand corner) and type in "VIR" for Vendor Invoice Registry
  12. Type in or paste (Ctrl + V) Vendor Code (= Vendor Customer ID), then press Enter
  13. Shows a list of invoices with Vendor Name, Invoice Numbers, Document amounts (invoice amounts), Ref Dates (claim schedule dates sent to SCO)
  14. To get the check number and issue date, click on the line you want to view, then click on "Vendor Transaction History" on the bottom
  15. Write down or copy (Ctrl + C) the Vendor/Customer Code (ex. VC0000017368), then click on "Disbursement Quarry" on the bottom
  16. Select "AD" in the Disbursement Doc Type drop box, then type in or paste (Ctrl + V Vendor Code, then press Enter
  17. Click on the line that you want to view
  18. Shows total check amount, and issue date under the General Info and penalty amount under Additional Amounts
